Tucson SPIN Speaker's Meeting Guidelines
Thank you for agreeing to participate in our upcoming SPIN meeting. Below are a few
guidelines to help us ensure that our interaction with one another is as pleasant as
possible.
Who we are:
We come from large and small companies, aerospace, medical instruments, software developers,
tool vendors, business, academia, and other fields.
We generally meet on Thursday evenings at the facility of a centrally located Sponsor.
Benefits to You:
- Publicity for yourself and your work.
- Information dissemination and feedback on your work.
- Opportunity to meet and network with people in your community.
- You will not receive any travel costs, but you will receive publicity, appreciation, and
applause.
- Oh, and your food for the evening is complimentary.
Before the Meeting Day:
The meeting coordinator will request your full contact information for our records and
additional information for publicity. We need:
- Name, Title, and Affiliation (as you want it advertised)
- Presentation title
- Presentation abstract (about 100 words)
- Bio (about 50 words)
- Phone number
- email address
- URL (if available)
- Fax number
- Complete mailing address
The Meeting:
General Meeting Agenda Outline
- 5:45 - 6:15PM Registration and Networking; Food & Drink Served*
- 6:15 - 6:30PM Organizational Announcements
- 6:30 - 6:45PM [Optional] Colloquium Topics
- 6:45 - 8:15PM Feature Presentation Topic
- 8:15 - 8:30PM Questions and Answers with speaker and concluding remarks and reminders
Before the Presentation:
- The meeting room is set up forty-five minutes prior to the beginning of the meeting. We
ask you to arrive at least 10 minutes prior to the beginning of the meeting.
- * Food and drink will be served. The Speaker's refreshments are complimentary. There
is no charge for admission. Attendees will sign in and are encouraged to network with one
another.
- The Chairperson of the Tucson SPIN will call the meeting to order, announce future
dates and speakers for our meetings, and take care of other administrative details.
- During some months, the Chairperson of the Tucson SPIN, or her/his designee, will
lead the group in an interactive discussion of a software topic that complements your
presentation. She/he will encourage the attendees to share personal experiences with
the topic.
Your Presentation:
- The Chairperson (or designee) of the Tucson SPIN will introduce you. The standard
presentation time for our the Tucson SPIN is one and one-half hours. The Chairperson will
signal you when you have five (5) minutes remaining (or at other time points that you can
work out before the presentation) so that you can end your presentation in a timely manner.
- Presentations should be technical and informational, not sales pitches. You are welcome
to provide sales literature for the handout table, and to discuss products and services in
off-line networking conversations.
After the Presentation:
- The Chairperson will thank you for your presentation and officially close the meeting,
providing any closing remarks, and start the "Open Forum" portion of the
meeting. This may be a continuation of Q&A to the Presenter or general discussion and
networking amongst the attendees.
Availability of Presentation Material:
- You may provide the SPIN audience with copies of your presentation. The Tucson SPIN
does not have resources to make copies for you, however, some assistance is available for
setting up the presentation. If you do provide paper copies, we ask for 25 copies,
printed 2-4 slides or viewgraphs per page (but ensure that the diagrams and text aren't
too small).
- Electronic versions of the presentation (PowerPoint or other MS document) or links to
the presentation are appreciated and will be included on our web site after the meeting.
- You may bring any additional materials as you see fit. They will be placed on the
information table with your viewgraph handouts.
Equipment:
- A computer and computer projector will be provided for you. If you prefer to use your own
computer and/or projector, that's fine, but please arrive a little earlier so we can ensure the
technology is working prior to the presentation. If you prefer, a plain overhead projector can
also be provided for you. Other equipment can be arranged, but must be requested in advance.
Publicity:
- We publicize the upcoming meeting in multiple ways:
- Email notices are sent to the SPIN email list.
- Flyers are distributed at SPIN meetings.
- Information is placed on our web site.
- Announcements are placed in local organization newsletters, email, and web pages.
